We use information to create and manage accounts, connect parents with transport companies and drivers, identify the correct child and driver, plan routes, send daily time notices, provide live tracking where enabled, create invoices, keep bookkeeping records, support payments, handle parent requests, improve safety, and maintain the QuickHop platform.

4. Child information

Child information is used only for school transport management, safety, route planning, parent communication, driver identification, live tracking access where approved, and billing. Child information should only be added by a parent/guardian, a transport company with permission, or an authorised account holder.

5. Live tracking

Live tracking is only used when a trip is active and the transport company has enabled tracking for the child. Parents should only see tracking information linked to their own child. Tracking information is used for safety, trip visibility, and transport communication.

6. Invoices, payments, and bookkeeping

QuickHop may store invoice records, payment amounts, arrears, monthly parent income, branch expenses, and related bookkeeping data. This information is used to keep transport records accurate and to prevent incorrect invoices being sent.

7. Emails, WhatsApp, and messages

QuickHop may send service messages, time updates, invoices, account information, OTP/login notices, and support messages by email or WhatsApp. Parents and transport companies can use platform messaging to communicate about transport services.

8. Who can access information

Access is limited by account type. Parents should only access their own profile, children, invoices, messages, and approved tracking. Drivers should only access route and child information needed for assigned trips. Transport companies and authorised administrators can access the records required to manage their branch, clients, invoices, drivers, and routes.

9. How we protect information

We use role-based access, account login protection, OTP where required, password controls, and system permissions to help protect personal information. Users must keep their login details private and immediately report incorrect access or suspicious activity.

10. Keeping information accurate

Parents, drivers, and transport companies should keep their account details, contact details, child records, and transport information accurate. Parents may request corrections when information is outdated, incomplete, or incorrect.

11. Retention of records

We keep information for as long as needed to provide the service, maintain transport and safety records, keep invoice and bookkeeping records, resolve disputes, comply with legal obligations, and support business administration. Archived clients may be removed from active lists while historical payment and service records remain stored.

12. Sharing information

Information may be shared only where needed for school transport operations, safety, communication, invoicing, payment processing, technical support, legal compliance, or where the parent/guardian or account holder has authorised it. QuickHop does not sell personal information.
